Below is a list of my services and what they entail. I am flexible with my working options so if you can't see a service that you need, then please feel free to contact me to discuss how I can help you.
Appointment scheduling & diary management
Cloud based PMS? Perfect! I log in directly, schedule your appointments and handle client chats via phone, email, Whatsapp and social media.
Here's how I handle your calls- When you sign up for call forwarding with me, I issue you with a landline telephone number, you can have whatever UK area code you desire. Your clients can call that number directly or you can forward your phone/mobile to this number. I use a VOIP switchboard system which lets me know which number has been called so I can answer accordingly, and be part of your team.
Inbox taming
Emails piling up? I log in, handle enquiries and respond as a member of your team.
I'll flag and notify you of any emails that I am unable to deal with or that require immediate attention.
At the end of the day I send a report to you via email with all of the new appointments and enquiries answered so you are kept fully informed.
Client reminders & follow-ups
I setup and send reminders for clients who are due services such as vaccinations.
I also offer clients follow up phone calls after appointments with you and get them booked in where required.
I'll present myself as a member of your team and not a faceless call centre.
Repeat prescriptions (all ready for your signature)
I use 'E-Signature' cloud software which is an additional £2.00 per doument signed.
Using that software I can create written prescriptions that adhere to legal requirements and send them to you for final sign off before emailing to clients.
Billing, invoicing & payments
Using your PMS, I create and send invoices for appointments carried out.
I contact clients to take payments via your preferred method and chase any unpaid ivoices too.
I can also handle account reconciliation via your accounting software, if you use one.
Clinical notes (you dictate, I scribe)
Save yourself hours of clinical note writing. After an appointment or phone call with a client, simply send me a voice note of your clinical notes and I will update the clients records for you.
I also scribe any correspondence you may need such as; letter writing, referrals and emails.
You carry on with your day knowing I am taking care of all the admin.
Arranging referrals (costs, timescales & coordination)
Need a referral sorting? Let me do the leg work.
I engage with the referral centres, write up referral letters (from your voice notes), send mediacal histories and relevant lab work.
I also discuss costs with both the specialists and the owners and liase with your clients about the processes, timescales and location etc.
Social media & website updates
Social media can feel like an additional task for marketing and staying in touch with prospective clients on top of everything else you have to do.
I complete this for you in a breeze.
We discuss the topics and I create the posts ready for your final approval.
These can then be posted at times that suit your audience using deferred publishing meaning you dont even need to think about it.
Admin & organisation
Save everything in one folder on your cloud storage system and I will file everything away neatly for you.
Either by creating an easy to understand filing system or using one that you have set up.
I set reminders up for you for important events or appointments - just send me a voicenote.
Anything you need organising, I take care of it.
Triage & advice service for clients
Using the VOIP system explained above, your patients call and I triage the severity of their case.
I alert you of any emergencies immediately and book in the routines via your PMS according to your working hours.
As we know some clients just need a bit of advice rather than an appointment so I offer this for you to save you time.
Recruitment support
This support is generally for independant practices, however, some self employed vets need a nurse. whether that is a locum or an employed person.
I help with finding the right person for you and your business.
I create job adverts after a brief from you.
I screen CVs for the right experience and skills.
I carry out first interviews to screen for individual qualities that align with your needs.
I then arrange your interviews and sort out all the admin that goes with hiring a new employee.
Deeper practice support
I carry out all the back office bits and pieces if you and your team need some time freeing up.
I carry out pharmaceutical and consumable orders, create staff ROTAs, arrange locum cover, create agendas for team meetings and much more.
If you are the owner of a business and you work directly with your employees, difficult conversations can sometimes be tricky to navigate.
Issues can go unresolved and cause employees to leave your business prematurly. I act as your 'go between' I deal with your HR issues and get things resolved quickly, confindentially and professionally.
